Roles and permissions
Updated Sep 25, 2026
Every person in an organization holds exactly one role, and that role decides what they can change.
The roles
- Owner — full access, including billing and deleting the organization.
- Admin — full access to the work; the organization's operators alongside owners.
- Employee — a member who can do the work but not run the organization.
- Staff — a managed member: joins by code, is approved, and takes a team seat once activated.
- Contractor — a managed member who is view-only.
Why contractors cannot edit
Contractors are shown the specific projects, gigs and budgets they were put on. They can read them, comment on them and answer approval requests — but they cannot change the organization's data. This is deliberate: contractors never take a team seat, on any plan, so an organization that could run entirely on contractors would have an editing team outside its plan's seat limit.
If a contractor needs to edit, change their role to staff. That takes one of your plan's team seats.
Roles and what each can do
| Role | Can change data | Uses a billed seat | What it is for |
|---|---|---|---|
| Contractor | No — view only | No | Reads the projects, gigs and budgets they were put on. Can comment and answer approvals. Billed through the Contractors add-on, not a seat. |
| Owner | Yes | Yes | Full access, including billing and deleting the organization. |
| Employee | Yes | Yes | Does the work; does not run the organization. |
| Admin | Yes | Yes | Full access to the work. An operator alongside owners. |
| Staff | Yes | Yes | A managed member: joins by org code, is approved, occupies a seat. |
