Who can see Finance

Finance access is granted per person, by the owner, in Settings → Permissions, and it is deliberately separate from the org role.
An admin who has not been given finance access cannot open Finance: the budgets, payables and reports stay closed to them. Admins do still see pay on people's profiles (below), so to have someone run the production without seeing what anybody is paid, make them staff rather than admin and leave Finance access off.
Pay on people's profiles
A person's profile in Entity shows their money: what they are owed and have been paid, their ticket sales, their rate card and their membership fee. Those sections are shown to:
- the owner and admins, always;
- anyone who has been given Finance access;
- the person themselves, on their own profile.
Everyone else sees the profile without them. Being named a budget's project lead or finance lead does not count: leading a budget lets someone approve its lines inside Finance, not read what everyone in the org is paid. Only Finance access does.
A profile's Stripe details — whether the person is synced, and the button that syncs them — follow the same rule, except that people don't see them on their own profile.
Restricting a single budget
Finance access controls who can open the module at all. Within it, you can go further and lock down one budget specifically — payroll or an internal-costs budget, say — so that only a chosen few staff can open it, even though everyone else still has ordinary Finance access.
To restrict a budget, open its settings from the gear icon on the Budgets board and switch on Restrict to selected staff. Then add the people who should keep access.
A few rules apply automatically:
- Owners and admins always keep access to every budget, restricted or not.
- A budget's named project lead or finance lead always keeps their access too, even if they are not added to the list.
- Only staff who already have Finance access can be added — contractors can never be added to a restricted budget.
Once a budget is restricted, it disappears entirely for everyone not on that list: it drops off the Budgets board, the dashboard, reports, Payables and Documents, as if it did not exist for them.
