Reports
Updated Sep 28, 2026
Finance → Reports is five reports behind one set of tabs: Spend by Category, Aging, Sales & Items, Customer Insights, and Membership Metrics. Opening Reports from the sidebar lands you on Sales & Items; the others are a click away along the top. All five are restricted to owners and admins — a Finance user without one of those two org roles sees a message instead of the report, even if they can otherwise see Finance.
Dates and exports
Spend by Category, Sales & Items and Customer Insights can be narrowed to a date range: pick Last 30 days, Last 90 days, This year or Last year, or set your own From and To dates and choose Apply. The range goes by each line item's date incurred, includes both end dates, and uses your organization's timezone to decide what "today" is. With no dates set, a report covers All time. The dates are part of the page address, so you can bookmark a range or send it to someone else who can see Reports.
The other two reports don't offer a range, on purpose. Aging is always as of today — it shows what is unpaid right now, so it can't be wound back to an earlier day. Membership Metrics counts who is a member now, and nothing in it is dated.
Every report has an Export tray in its header; its download button saves the report as a CSV file for the dates on screen. The file has every row, even where the page shows only the top 12, and amounts are plain numbers in dollars with the currency in the column name.
Spend by category
Where the money went, across every project, broken into your expense categories — plus income the same way. Two totals sit side by side for every category, and they answer different questions:
- Committed is everything not cancelled: planned, approved, invoiced, or paid. What the category will ultimately cost.
- Settled is only what has actually moved: paid or disbursed money.
A category can be large under Committed and empty under Settled all season — that's not a bug, it means the spend is planned but nothing has been paid out yet. A Not yet categorised total is shown as its own headline figure rather than buried in a footnote, because it's the gap between this report and your budget totals. Below the tables, a month-by-month bar chart plots income against expense.
This report needs Bookkeeping turned on in Finance settings — it reads the expense categories on your line items, and without categories turned on there's nothing to group by. If Bookkeeping is off, the page tells you so instead of showing empty tables.
Aging
Who owes you money, and how late. Every receivable with an amount still outstanding is bucketed by how overdue it is, and the buckets add up to six, not the five you might expect:
- Not yet due is its own bucket, separate from Current. A receivable that hasn't been issued or sent has never actually been billed, so nobody owes it yet and no clock has started — even if a due date was typed on it, it waits here with no due date shown. Folding it into Current would make the report look healthiest exactly when work hasn't been invoiced. For the same reason, Not yet due is left out of the Overdue headline total, which counts only genuinely late buckets.
- The other five buckets — Current, and four aging tiers — cover every issued invoice that has a due date, by that date.
Below the summary, the report breaks the same numbers down by bucket, then by client, then lists every open receivable individually with its due date, how many days late it is, and the amount. Amounts include tax.
A Remind button appears next to a row, but only when it's genuinely overdue — a row that isn't late has no button at all, so an empty Remind column is itself a signal that nothing needs chasing. Clicking it sends a real email to the client about that specific invoice. There's no automatic dunning schedule behind it: GIG runs on one shared sending domain across every organisation, so an automated run that trips a spam filter would cost every tenant's deliverability, not just yours. A background job does flag an invoice once it crosses 1, 7, 30, 60 or 90 days late, but that only raises an in-app notification — sending the email is always this manual click. (This is a different button from Send Reminder on the Memberships page, which currently doesn't send anything at all — don't assume the two behave the same way.)
This report needs Get paid turned on in Finance settings — it reads the due dates on your receivables, and without that capability there's nothing to age.
Sales & Items
What sold, how much of it, and for how much — one row per catalog item or service, with the type, quantity sold and revenue, drawn from your invoiced and paid receivables. Nothing appears here until you've invoiced at least one receivable line item from a project budget.
Customer insights
Who is buying, ranked by revenue. The headline figures are your total directory size, how many of those entities have actually paid for something, total invoiced amount, and the average invoice. Below that, a table ranks clients by number of invoices and total revenue. As with Sales & Items, a client only appears once a receivable line item has been invoiced against them. A date range narrows everything here except the directory size, which is always everyone on file today — the figure is labelled that way.
Membership metrics
How many people are on a recurring membership right now, and how many used to be. See Memberships for what counts as Active versus Former, and for what this report deliberately does not cover yet — it's a headcount, not a revenue or churn report.
