Invite your team
Updated Sep 28, 2026
There are two ways into an organization, and they behave differently.
An invite you send
An owner or admin invites a named email address from Settings → Organization, under Team, and picks the role the person will have. Owners can invite admins, staff and contractors; admins can invite staff and contractors. Nobody is invited as an owner: an owner makes another owner from Settings → Permissions.
The person gets an email from your organization with a link that works for 7 days. If the address has no GIG account yet, the link opens one and they choose a password on the page; if it already has one, they sign in. Either way they land in your organization already approved, with nothing waiting in the approval queue. The link works only for the address it was sent to: someone signed in with a different address cannot use it.
Invites that haven't been accepted are listed under Team. Resend sends a new link with a fresh 7 days, and the earlier link stops working. Revoke cancels the invite and frees its seat.
A join code someone uses
The organization's join code, shown under Settings → Organization, is for people who already have a GIG account. They enter it during onboarding or from the Organizations tab of their profile, and land in a pending state in the approval queue — nobody gets access to anything until an owner or admin approves them. A join code does not create an account, so it cannot bring in someone new: invite them instead.
Seats
Owners, admins, employees and staff each take a team seat. Staff who join with the code take theirs once they're activated; invited admins and staff take theirs when they accept. Seats don't cost extra — every paid plan is one price for the whole organization, so adding or removing someone never changes what you pay.
What seats do count against is your plan's seat limit: 1 on Free, up to 8 on Crew, up to 10 on Production, and 25 or more on Organization. An invite for an admin or staff member holds a seat from the moment it is sent until it is accepted, revoked or expires, so you can't send more of them than you have free seats. Once every seat is taken or held, GIG won't send another such invite, activate another staff member, or move a contractor into a role that takes a seat until your organization moves to a bigger plan — see Plans and seats.
Contractors never take a seat, on any plan — they are supply-side and read-only, and everything they use is included on every plan. Inviting or adding a contractor never changes your seat count.
